      What is IFTA?

IFTA is the International Fuel Tax Agreement. It lets a trucking company file one fuel tax return each quarter for every state and Canadian province it drives in. You file with your home state, called your base state, and it splits the money with the others.

Each state taxes the fuel you burned on its roads. The return compares that with the fuel you bought there, where you already paid tax at the pump.

      Who has to file?

You need an IFTA license when your truck crosses state or province lines and it has two axles and weighs more than 26,000 lb, or has three or more axles at any weight, or runs in a combination over 26,000 lb.

Once you have a license, file every quarter, even a quarter you didn't drive.

      When is it due?

      QuarterMonthsDue
      Q1January – MarchApril 30
      Q2April – JuneJuly 31
      Q3July – SeptemberOctober 31
      Q4October – DecemberJanuary 31

When the due date falls on a weekend or holiday, it moves to the next business day.

      How the math works

      1. Fleet MPG = total miles ÷ total gallons, for all states together, rounded to 2 decimals.
      2. Taxable gallons in a state = your miles in that state ÷ fleet MPG.
      3. Net gallons = taxable gallons − the gallons you bought there (tax-paid gallons).
      4. Tax = net gallons × that state's rate. More than zero, you owe it. Less than zero, you get it back.

Add up every state and that is your total for the quarter.

      IFTA questions

How do I calculate IFTA tax?

Divide your total miles by your total gallons to get your fleet MPG. For each state, divide the miles you drove there by that MPG to get taxable gallons, take away the gallons you bought there, and multiply what is left by the state's rate. Add up every state. A total above zero is what you owe; below zero is a credit.

      Is it really free?

Yes. The calculator and the IFTA report are free, with no card and no account. We ask for your email because that is where we send the report.

When is the 2026 Q3 IFTA return due?

October 31, 2026. It covers July, August and September. The 2026 Q4 return, for October to December, is due January 31, 2027.

Do I need to pick my base state?

No. Every state's tax comes out the same whichever state you file with, so the numbers don't change. If you pick your base state, the report tells you where to file it and by when.

Where do the tax rates come from?

From IFTA's tax rate table at iftach.org, the same table the HaulBook app uses, checked every day. Rates can change every quarter, so check the current quarter at iftach.org before you file.

What does “You get back” mean?

You bought more fuel in that state than you burned there, so you already paid that state more tax than you owe it. That credit comes off what you owe the other states. If your whole return comes out as a credit, your base state refunds it or carries it to your next return.

Are surcharges and weight-mile taxes included?

The Indiana, Kentucky and Virginia surcharges are included. They are charged on every gallon burned in the state, even fuel bought there. The weight-mile taxes in Kentucky, New Mexico, New York and Oregon are filed on their own returns and are not included.

Can I upload my fuel card and ELD files?

Yes. Upload your fuel card export (Comdata, EFS, WEX, Pilot and others) under Fuel purchases, and your ELD's miles by state under Miles by state, as Excel (.xlsx) or CSV. We read the gallons from the fuel file and the miles from the miles file, leave out DEF and reefer fuel, and fill in the table. You can change the columns if we picked the wrong ones.

Does it work for Canadian provinces?

You can add them, and their miles and gallons count toward your fleet MPG. HaulBook's rate table covers the U.S. states, so a province's tax is not in the total. Look up its rate at iftach.org.

What happens if I file late?

Most base states charge $50 or 10% of the net tax due, whichever is more, plus interest. Filing late again and again can put your IFTA license at risk.

What do I need to give you?

Just your email. Files you upload are read on your phone or computer and never leave it. When you ask for your report, we get your email address and your totals by state, work out your IFTA and email you the report with the PDF. We keep your email to send you HaulBook news and offers (unsubscribe anytime), not your numbers.

Can HaulBook do this for me every quarter?

Yes. HaulBook adds up your miles and fuel by state as you run, all quarter, and builds the IFTA report from them. The IFTA report is on every plan, including the free one. Pro is free for 14 days, no card.
